How the roles work together
The company is the business boundary. Vendors supply the merchant and order information. Agencies handle local operations; hubs handle logistics movements between locations. Transporters carry the work assigned to them. A person signs in as a user attached to the appropriate organization and role. Changing a user assignment therefore changes the records and controls relevant to their work.
An order describes one shipment. A bag groups eligible orders and preserves their final origin and destination agencies. A transfer describes one movement between a hub or agency and another location; several transfer legs can carry the same bag toward its final destination. Keep the order barcode, bag reference and transfer reference distinct when discussing an issue.
Before acting, verify the physical situation, the record reference, current status and your assigned location. After saving, check the updated record rather than assuming the operation succeeded. Use Messages for coordination, Support for a tracked request, and Accounting for financial evidence. Public guides explain the workflow but cannot expose another organization’s records.
Steps
- Sign in and follow the discovery tour offered on first use. Its progress is remembered for your user and role in this browser; another browser or cleared browser data can show it again.
- Open your profile image menu and choose Guided training, directly above Documentation. Replay discovery or select a detailed task such as adding an order, user or tariff.
- Use Next and Back to explore real pages. Pause keeps your place, Resume continues it, and Skip closes the tour. You can replay it from Guided training.
- Open Journey on your dashboard to revisit the same discovery chapters in the same order. Choose a chapter to start its corresponding tour step.
- Read each explanation, complete the real form when needed and choose Save or Cancel yourself. Viewing a guide marks learning progress; it does not prove that business setup or a payment is complete.
Open, pause and replay your guide
On desktop, select the directions icon beside Statuses in the header. Guided training and Documentation also remain in your profile menu; on mobile use that menu. In Guided training, choose Discover Colsuite for the full introduction or select a specific chapter or task.
Use Next and Back to move through the guide. Pause replaces it with a small Resume tour control. Resume continues from that position; its × button skips and dismisses the tour. You can replay a tour from Guided training later. Progress is stored per user and role in this browser, not shared across devices.
The page help icon opens documentation beside your work. At the bottom, Open full documentation opens the article, while Show in tour starts a matching page guide. If no matching guide exists, it opens the Guided training menu.
The dashboard Journey follows the same chapters as discovery. Its progress counts steps viewed rather than business actions completed. Once every available step has been viewed, Journey hides from the dashboard; Guided training remains available.
A different workflow for each role
Delivery companies learn settings, tariffs, network users, orders, bags, transfers, products, stores, accounting and communication. Review starter records before adding duplicates. Company subscription billing is shown only to company administrators.
Agencies learn available tariffs, agency vendors, staff and transporters, local orders, bags, transfers and accounting. Hubs focus on hub users, transporters, receiving and forwarding bags, transfers and their own accounting; their guide does not teach creating vendors or hubs.
Transporters learn assigned deliveries, successful delivery confirmation, failed attempts, returns, assigned transfers, collected cash and their own earnings. Vendors learn product and store management, creating drafts, submitting orders, following delivery and return updates, and vendor settlements. Available chapters depend on account permissions and enabled features.
The ecommerce company discovery tour
Ecommerce companies get a separate tour centered on company setup, multiple vendors and stores, products, store configuration, EcoTrack, orders, manual delivery, accounting, messages and AI help. Agency, hub, bag and transfer setup is excluded.
Each vendor owns its own catalog and store. The store walkthrough opens General for identity, contacts, subdomain, language and WhatsApp; Design for branding, homepage and checkout options; Social for official profile links; SEO for search details and tracking IDs; and Pages for delivery policies, quality guarantees, FAQ and thank-you content. Save changes yourself after checking the selected store.
From Products, open a product’s Landing page status. Use the AI builder when available or paste HTML into Advanced code. Insert the built-in checkout form when needed, preview desktop and mobile, review SEO and save the draft. Publishing is a separate action and any displayed publishing blocker must be resolved first.
In each store’s Integrations tab, configure its own EcoTrack connection and sending options. An individual order’s three-dot menu offers Push to EcoTrack when eligible. For several orders, select their checkboxes, check the selection count and use Bulk actions → Push to EcoTrack. Review tracking references, errors and skipped orders.
An editable linked order offers Unlink from EcoTrack in its row menu. Unlink removes the local association only; it does not cancel the shipment at EcoTrack. Pushing again may create another shipment. Colsuite permits shared EcoTrack credentials across stores, but pulling the same external account into several stores can import duplicate shipments because matching is per vendor. Prefer separate accounts or one designated importing store.
You can also add your own transporters, choose the payment method and an available tariff, then assign eligible orders for manual delivery. Check actual delivery and return outcomes, collected cash and handovers separately from EcoTrack shipments. Avoid dispatching the same order through both channels.
Messages and AI help during training
Messages covers direct conversations with eligible contacts, order discussions for accessible shipments and group participation. Company users, agency administrators and hub administrators can create groups according to the existing messaging rules. Other roles participate in groups they have joined; a group does not grant new access to orders or other organizations.
The header robot opens the AI Assistant chat panel. Ask about your task or include an accessible record reference. The tour does not send messages, connect EcoTrack, push orders, save code, publish pages or make payments for you. Review and confirm actual changes using the application’s own controls.
Your role determines the tour
Company users discover company setup and daily operations. Vendors focus on their own orders, products, store and settlements. Agencies learn local orders and handoffs; hubs learn receiving, routing and onward transfers. Transporters learn assigned deliveries, transfers and earnings. Super administrators have a separate platform tour for companies and accounts.
Only pages and actions allowed by your permissions and enabled company features appear. A tour does not grant additional access.
The company discovery chapters
1. Company settings: review company information, notification preferences and order statuses. Understand which statuses your operation uses before processing shipments.
2. Tariffs: review the two starter plans, Vendor Tarif and Transporter Tarif, before creating more. Open a tariff’s details to set prices for each state or disable a state, then save. Assign the appropriate tariff to a vendor or transporter; separate plans can reflect each role or state coverage.
3. Users and network: company creation supplies a starter vendor, hub, agency and transporter with associated accounts. Review these records and their links first. Add further vendors, agencies, hubs, transporters or company users only as needed, choosing the correct organization, role and tariff.
4. Orders: find the create button and learn the required fields in the order walkthrough. Created is the starting stage; validation, hub handling, roadmap preparation and In Delivery describe operational progress. Delivered does not by itself mean vendor funds are settled. Review Completed, returns and exceptions in their relevant guides.
5. Bags and transfers: group compatible orders into a bag and seal it when ready. A transfer records one movement from the current location to the next stop. Confirm dispatch and receipt against the physical load; that next stop can differ from the bag’s final destination.
6. Products and stores: maintain products and stock, then configure a vendor’s own store, catalog and subdomain where available. Store settings belong to that vendor. A starter vendor does not automatically mean a public store is configured.
7. Accounting and payroll: distinguish cash handovers, vendor settlements and operational statuses. Check payroll amounts before recording payment: the payroll entry records money actually paid.
8. Agents, website and AI Assistant: explore operational agents and the company website builder where enabled. Use the separate header AI Assistant to ask for help with your work.
9. ColSuite subscription: this final chapter is for company administrators only. Review the trial, plan, billing period, staff licenses and current prices. Open checkout and confirm payment yourself; reading the tour never charges you.
Use the header AI Assistant
Select the robot icon in the header to open the chat side panel. This assistant is separate from the operational Agents page. Ask a question or provide an order, bag or transfer reference to give your request context.
The assistant works within your account permissions and organization. Review its proposal and confirm any write action before it changes records. Guided training and Journey do not automatically create orders, dispatch loads or pay invoices.
